Position Summary:
The Finance and Supply Chain Manager is responsible for planning, organizing, and managing the hospital’s supply chain, including procurement, warehousing, inventory, logistics, and fixed asset management. The role ensures the continuous availability of medical and non-medical supplies while maintaining cost-effectiveness and compliance with hospital policies.
Key Duties and Responsibilities:
Finance and Supply Chain Management:
- Develop and implement procurement plans aligned with hospital needs and budgets.
- Source, negotiate, and manage supplier contracts to ensure quality and timely delivery.
- Monitor supplier performance and maintain effective supplier relationships.
Inventory and Warehouse Management:
- Oversee the receipt, storage, and issuance of medical and non-medical supplies.
- Maintain accurate inventory records and ensure stock levels are within optimal limits to avoid shortages or overstocking.
- Perform regular physical inventory counts and reconcile with records.
Fixed Item Management:
- Maintain an updated register of all fixed assets within the hospital (medical equipment, office equipment, furniture, etc.).
- Ensure proper tagging, coding, and documentation of all fixed assets.
- Coordinate periodic physical verification of fixed assets and report discrepancies.
- Monitor the movement, condition, maintenance needs, and disposal of fixed assets policy.
Logistics and Distribution:
- Plan and coordinate the distribution of supplies to various departments in a timely manner.
- Oversee transportation and delivery logistics, ensuring cost-efficiency and safety.
Policy and Compliance:
- Ensure all supply chain activities comply with hospital policies, donor regulations (if applicable), and government guidelines.
- Develop and implement SOPs for supply chain and asset management.
Reporting and Analysis:
- Prepare periodic reports on procurement status, inventory levels, asset conditions, and supply chain performance for management review.
- Analyze supply chain data to identify cost-saving opportunities and efficiency improvements.
Team Management:
- Supervise and guide storekeepers, procurement officers, and other supply chain staff.
- Ensure capacity building and ongoing training for supply chain team members.
Qualifications and Requirements:
- Bachelor’s degree in Accounting and Finance, Supply Chain Management, Logistics, Business Administration, or related field; training in healthcare supply chain is an advantage.
- At least 5 years of experience in supply chain management, preferably in a hospital or healthcare setting.
- Knowledge of orthopedic supplies, surgical instruments, and pharmaceutical supply chain processes.
- Strong negotiation, communication, and vendor management skills.
- Familiarity with healthcare procurement laws, medical inventory management, and quality standards.
- Proficiency in using supply chain and inventory management software.
- Analytical skills for demand forecasting and data-driven decision-making.
