CURE Children's Hospital of Uganda, a Private-Not-For-Profit (PNFP) Christian hospital specialized in Pediatric Neurosurgery and Integrated Spiritual Ministry, is seeking an experienced Individual for the Full-time position of Human Resource Assistant.

Position Overview:
To provides daily administrative and clerical support to an HR department, assisting with duties such as maintaining
employee records, supporting recruitment processes like scheduling interviews and screening resumes, managing
HR documentation and onboarding new employees.

Duties And Responsibilities
Recruitment and Onboarding

  • Collaborate with the Human Resources Officer (HRO) to develop interview matrices for candidate screening.
  • Schedule interview meetings as requested by the HRO.
  • Invite shortlisted candidates for interviews.
  • Provide feedback to interviewed candidates as directed by the HRO.
  • Follow up on next steps for successful candidates.
  • Participate in the orientation of new co-workers.
  • Support onboarding processes for new co-workers.

Time and Attendance Monitoring

  • Prepare time and attendance records to support payroll processing.
  • Provide monthly punctuality and attendance updates to co-workers.

Employee Development

  • Support the performance management process through documentation, tracking, and follow-up of performance reviews and related actions.
  • Maintain accurate employee records, including employment details, status changes, and other relevant data in the HR system.
  • Represent the Human Resources department in meetings as required.

Front Desk Management

  • Receive and make incoming/outgoing calls.
  • Welcome and guide visitors appropriately.
  • Perform clerical functions as needed.
  • Ensure the reception area has an updated phone directory for all co-workers; coordinate with IT to update records for incoming and exiting staff.

Internship Program Coordination

  • Receive and log all internship applications.
  • Issue internship request forms to selected interns.
  • Provide feedback to applicants.
  • Participate in intern orientation sessions.

Leave Management

  • Monitor leave usage in liaison with Heads of Departments.
  • Update monthly leave summaries by the end of each month.

Staff Welfare

  • Participate in activities related to staff wellbeing, in line with the Human Resource Policies and Procedures Manual (HRPPM).

Records Management and Personnel File Audits

  • Update and maintain accurate employee records.
  • Participate in periodic personnel file audits.

Training and Development

  • Assist in managing training and development initiatives for co-workers.

Continuing Professional Development

  • Identify and pursue professional development activities relevant to the role.
  • Maintain records of completed development activities.
  • Engage with supervisors for mentorship and coaching to support ongoing professional growth.

Occupational Health and Safety/ Risk Management

  • Update the risk register and monitor implementation of actions items.
  • Ensure ongoing training is done for risk management and continuous health &safety measures.
  • Liaise with the IPC nurse to ensure all newly onboarded coworkers who have not received the Hepatitis B vaccine are identified and supported through the vaccination process.
  • Regularly review the Hepatitis B vaccination tracker to ensure all coworkers remain compliant with the required immunization protocols.
  • Monitor the co-workers OHS program
  • Monitor and maintain an up-to-date occupational health and safety register of incidents that have taken place annually.
  • Ensure accurate documentation, monthly review of reported incidents, and timely closure of all cases to support continuous improvement and compliance with safety standards.
  • Ensure that co-workers access the occupational health and safety program in line with the Occupational safety and health act 2006.
  • Identify, report, and self-manage hazards where appropriate.
  • Comply with Health & Safety policies and procedures, including the use of Personal Protective Equipment (PPE) as required.

Spiritual Ministry Participation

  • Participate in the hospital’s spiritual ministry programs.
  • Attend chapel services and departmental Bible studies with staff.

Education/Experience Requirements:

  • First degree in Human Resource Management or any other related field. 
  • One-year experience in Human Resource office and front desk
  • Computer knowledge in basic Ms Office, HRIS, e-mail and internet
  • Exposure to Human Resource Information systems
  • Experience and/or knowledge of the operations of Private Not for Profit (PNFP) most preferably a hospital setting.

This position is full-time fixed-term renewable and based in Mbale.
